Description

This guide is designed for internal tracking of materials pulled for requests. It has been made public to add a unique access point, provide transparency, and help to tell a story about the administrative functions of an archival and special collections repository. It is a record that we will write into the future and the first version of it will include the years 2025 through 2030. These years will also see the 2nd version of the Western History Center's Program document. Materials in this record will be or have been moved to either the "Pulled for Use" or the "Ready for Return" shelves in room 203. This may be done in direct response to a request when possible. Once material has been pulled it will be added to the "Pulled for Use" shelf as an item record. This can be done at the box or file level as needed. When work is done with these materials, they can be moved to the corresponding "Ready for Return" shelf using the Enable Reorder Mode in ArchivesSpace. This overall record will be organized/arranged chronologically by semester and subsequently by year and month. It will help us provide a record of use and be good stewards of records. No user names will be added to this record We will do our best to shadow each other while maintaining this system and brainstorm ongoing collection management needs for materials pulled, whether that be arrangement and description following DACS, digital preservation, or collection audits. The future planning of this room will include removing the empty filing cabinets and installing a working table for the latter ongoing work. A processing plan writing set following established template and deed of gift survey will be the closing step.
